HR Senior Officer / Officer ( 1 Year Contract )


Job Descriptions

Department: Human Resource

Purpose of the Position 

Candidate will be covering duties for HR team member currently on long term leave. He/she will be a HR support for a certain group of employees. Main responsibilities includes coordination of recruitment activities, training and development programs and also welfare related items e.g. insurance renewals and company events. Candidate will also be a backup for the HR specialist in charge of payroll, budgeting and supporting a separate group of employees. Candidate will report to the HR Senior Manager.

Responsibilities 

1. HR Support (30%)

• Work pass administration – applying and renewing work passes.

• Carrying out new join orientation for junior employees.

• Arranging service apartments for work pass holders when they first arrive.

• Preparing employee salary/welfare data for income tax declaration and manpower budgeting purposes.

• Updating and maintaining employees’ data in the HR system (E-frontier HRIS).

• Answering employee enquiries regarding HR policies, guidelines, benefits and guiding employees through the HR system if they are unsure where to find their payslip, leave details etc.

2. Recruitment Coordination / Recruitment (20%)

• Coordinating and scheduling interviews for candidates identified by the hiring managers and HR managers.

• Screening of resumes submitted via job portals or sent by the recruiters for junior positions and interview candidates with hiring managers to determine suitability. Interviews can be carried out via video conferences or in person.

• Review drafts of job descriptions submitted by hiring department and determine salary benchmark based on internal salary system.

3. Training and development coordination (20%)

• Coordinating training schedules and registering training for employees within stipulated timeline.

• Creating and maintaining training records in the HR system.

• Assisting HR manager with other ad-hoc training and development matters.

4. Welfare (10%)

• Follow up on insurance related matters with broker E.g. insurance renewal, enquiries from employees, renewal enquiries, outstanding claims.

• Onboard employees who have been confirmed for the company insurance schemes.

• Lead the event committee in terms of idea generation for employee event and welfare related matters and support the committee in executing employee events and welfare related matters. E.g. Team Building, Company Goodie Bag, Dinner & Dance

5. Coordinate onboarding and de-kit process (10%)

• Coordinate onboarding process with IT, Corporate Administration departments and within HR department.

• Ensure all items and documents required are well prepared and all appointments with internal stakeholders for onboarding are arranged prior to join date of new incumbent.

• Coordinate the de-kit process for leavers such as preparation of letter for resignation acknowledgement, sending out exit interview forms and coordinating exit interviews, arranging return of assets, IT equipment etc.

6. HR administrative support (10%)

• Creating disbursement instructions for claims and invoices using the SAP GBS system.

• Prepare letters such as certification of employment, confirmation letters etc.

• Track latest HR related news and share intelligence with the team.

• Extract data from HR system and prepare reports as required.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge / Experience

• Minimum degree in business, preferably with specialization in HR

• At least 1-2 years (for Officer), 3-5 years (for Senior Officer) of relevant HR generalist experience, preferably familiar with the above-mentioned scope.

• Advance proficiency in Microsoft suite of application, especially Microsoft excel (able to do V-lookup and Pivot Table)

• Familiar with writing of business proposals and preparation of power point decks.

• Able to manage tasks independently and takes initiative to seek support when unsure.

Personality

• Good communication skills and situational awareness.

• Manage timelines and stress well, understands various priorities. 

• Accurate especially with data processing.

• High integrity, understanding sensitive/personal information must be kept confidential.

• Mature mindset and trustworthy

Working Hours

· Monday to Friday, 9am to 5:45pm
