Job Description

File & Secretarial Support

  • Maintaining file list
  • Document Management System: saving emails, correspondences, pleadings and etc.
  • Engrossing / Formatting Letters
  • File opening and closing procedures, including conflict checks
  • Filing of documents via e-Litigation
  • Case preparation
  • Assist in the drafting of legal documents
  • Managing matter deadlines, monitoring the progress of the team's matters and generating matter status reports
  • Scheduling appointments for meetings and calendaring deadlines

 

Admin Support

  • Doing claims and payment vouchers for team members
  • Doing up file-related / marketing forms
  • Dial teleconference / overseas calls
  • Entering name cards into email
  • Serving drinks to Partners’ / associates’ clients if receptionists are unavailable
  • Covering Reception on a rotational basis
  • Photocopy, Scan, Fax, Print & Bind documents
  • Formatting of documents (Merge, paginate documents, track changes)

 

Financial Management

  • Affinity: Keying in partners’ / associates’ time
  • Doing TOFs & Credit Notes
  • Preparing bills / invoices and statements of accounts
  • Sending bills to clients
  • Chasing clients on receivables
  • Assist partner / associates in meeting billing target

 

Searches

  • ACRA searches
  • Bizfile searches
  • AML searches
  • Causebook searches

 

Requirements

  • IT savvy (basic understanding of MS Office, Outlook and etc.)
  • Minimum 3 years of relevant working experience in a Law Firm, preferably with Litigation & Dispute Resolution practice
  • Efficient, well organized, able to work well under pressure and adhere to strict timelines
  • Minimum educational qualification: Diploma from a recognised institution
