Job Description

Job Summary

The Project Management Assistant will provide administrative, coordination, and operational support to the Project Manager in overseeing project execution from initiation through completion. This role is responsible for ensuring project activities are well-organized, timelines are monitored, documentation is maintained, and communication between stakeholders is effective to support smooth and successful project delivery.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced project environment.

Key Responsibilities

  • Assist the Project Manager in daily project coordination and execution activities.
  • Monitor project schedules, milestones, and deliverables to ensure timelines are met.
  • Track project progress and follow up with internal teams, subcontractors, vendors, and clients on outstanding action items.
  • Prepare, maintain, and organize project documentation including contracts, technical submissions, reports, meeting minutes, progress updates, and project correspondence.
  • Coordinate meetings, project briefings, and stakeholder communications; prepare agendas and record meeting minutes.
  • Support procurement and logistics coordination related to project materials, equipment, documentation, and site requirements.
  • Assist in submission and tracking of project approvals, permits, compliance documents, and client deliverables.
  • Monitor project risks, issues, and changes, escalating concerns to the Project Manager when necessary.
  • Maintain accurate project filing systems, document version control, and project records.
  • Support project financial administration, including tracking invoices, payment milestones, purchase orders, expense records, and project cost documentation.
  • Coordinate travel arrangements, site visits, and logistics for project personnel when required.
  • Liaise with cross-functional departments including engineering, finance, procurement, operations, and administration to ensure smooth project workflow.
  • Assist in project close-out activities, handover documentation, and final reporting.

Requirements

  • Diploma or Bachelor’s Degree in Project Management, Business Administration, Engineering, Construction Management, or related field.
  • Minimum 2–4 years of experience in project coordination, project administration, or assistant project management roles.
  • Experience supporting engineering, technology, infrastructure, construction, or government-related projects is an advantage.
  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills in English.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management tools such as Microsoft Project, Monday.com, Asana, Trello, or similar platforms is an advantage.
  • Strong attention to detail and documentation discipline.
  • Ability to work independently while supporting cross-functional teams in a dynamic environment.
  • Fluent in English, Mandarin/Cantonese is a bonus. 
  • Willing to travel across the region.
