Job Description
Facilities Assistant
- Provide excellent workplace and hospitality support to ensure a positive experience for employees, visitors, and stakeholders.
- Coordinate and ****** vendors and contractors on-site, ensuring services are delivered safely and efficiently (e.g., pest control, landscaping, ACMV servicing).
- Assist in scheduling and monitoring preventive maintenance activities for facilities and equipment (e.g., AED servicing, water filter replacements, improvement works).
- Support the setup and teardown of events, meetings, and workplace activities.
- Perform general administrative duties related to facilities operations.
- Act as the first point of contact for facilities-related issues and assist in logging and assigning requests through the ticketing system.
- Liaise with government representatives, contractors, and external service providers as required.
- Conduct routine site inspections and facility walkthroughs to identify defects, safety concerns, and maintenance requirements.
- Monitor and follow up on reported defects, ensuring timely rectification and closure.
- Support workplace logistics, including furniture movements, office setups, and operational requirements.
- Assist in monitoring security-related incidents and reports, escalating issues to the appropriate teams for resolution.
- Provide support and coverage at the reception desk when required.
- Maintain and update facilities-related records, drawings, manuals, and documentation.
- Assist with reception, mailroom, and concierge functions as needed.
- Manage and monitor inventory levels of spare parts, tools, and facilities supplies.
- Track, update, and report on the status of maintenance works, repairs, and service requests.
- Ensure access control systems and workplace facilities are functioning properly and report any issues for resolution.
- Support day-to-day facilities operations to ensure a safe, efficient, and well-maintained workplace environment.
