Job Description

About the Role

Administration

  • Organise, coordinate and set-up for internal and external meetings and company events
  • In-charge of office management to ensure everything is in place for the office to run smoothly and liaise with landlord on facility management if necessary
  • Responding to incoming calls, mails and other communication
  • Receive and attend to external visitors in office
  • Take charge of office and production general inventory replenishment
  • Supervise cleaner for cleanliness of office and production
  • Take charge of procurement process to ensure Purchase Requisition (PR) forms are raised, Purchase Orders (PO) are issued when requested and invoices passed to Finance are supported by approved PR forms in accordance to approval matrix
  • Perform general clerical duties
  • Coordinate and liaise with transporter on local deliveries
  • Assist Finance team in month-end and year-end stocktake process
  • Making business travel arrangements for employees
  • Ensure safe management measures are implemented at the workplace by following MOM guidelines
  • Any other Administration ad-hoc duties assigned

Human Resource

  • Manage and handle employee’s records in Info-Tech System and Door Access
  • Work closely with outsourced service provider on payroll related matters and ensure timely and accurate submission in all government related claims ie. Childcare leave, maternity/paternity leave, NS makeup claims etc.
  • Responsible for work pass administration such as work pass application, renewal, cancellation and issuance
  • Perform daily HR duties from on-boarding to off-boarding
  • Coordinate with all Team Leaders on recruitment, resignations, confirmation and all HR related matters
  • Manage E-leave & E-attendance via Info-Tech System, including leave type entry, entitlement, application and daily production workers’ attendance
  • Provide advice and handle all employee inquiries on HR-related matters and escalate any issues to Area Management team on timely basis
  • Monthly HR reports ie. Turnover, leave etc
  • Undertake any ad-hoc projects assigned by Area Management team from time to time

About You

  • Minimum Diploma in Business Administration or Human Resource Management
  • At least 2-3 years of payroll related experience & familiar with Info-Tech System
  • Familiar with MOM regulations and HR practices
  • Strong communication skills in English
  • Excellent Microsoft Office with strong analytical abilities
  • Be a team player, with the open mindedness to work in teams of different culture
  • Possess good interpersonal skills, able to communicate to all levels of staff effectively
  • Aptitude for problem solving
  • Ability to work independently
