- Job Description
HR Operations & Administration
- Managecertain aspects of HR activities such as On-boarding / Off-boarding formalities, Employment Contract administration, recruitment, etc.
- Administer staff leaves and claims reimbursements in accordance with company policies.
- Maintenance of P-files, policies, employees’ handbook and HR documents etc.
- Ensure all employees’ enquiries are resolved in a timely and effectively.
- Ensure up to-date-HR regulatory compliance legislation is adhered to
- Performing other duties such as liaising with government agencies for EP applications/cancellations, MOM registrations, IRAS related matters as well as Corporate Tax matters for the office and CPF Submissions
- Ongoing internal recruiting
- Welcoming all visitors into the office including clients, candidates, deliveries etc
- DM (Internal Database Search engine) database ‘champion’
- General maintenance ie aircon and lighting, carpeting, pantry area, etc
- Opening / distributing incoming mail and franking outgoing mail
- Office administration including filing / scanning / converting documents / binding / photocopying
- Maintaining general office supplies
- Processing and submission of expense claims
- Planning and managing calendar of the Director.
- Arranging and scheduling interviews between Director and candidates, Director with clients and clients with potential candidates.
- Ensuring contracts issued to clients are accurate based on their agreement with the Director.
- As and when dealing with foreign candidates, assistance is provided in the arrangement of required documentation in a timely manner.
- Maintain candidate records and activities on the database and also maintain the knowledge of the database function.
- Control and process applications: ensure that response area sent to all applicants and that the database is updated and that all candidates are final actioned whether placed or unsuccessful.
- Internet ad posting are completed on a timely manner.
- Accurate invoices are raised at appropriate times and sent out to clients in a timely manner.
- Provide team assistance (eg, phones, helping out in overload situations to other team members). Organising of events if necessary Eg: Lunch receptions, Breakfast Talks and internal functions
Database Management
- 1st line of IT support
- Registering and updating candidates to the database, logging information and activity
- Formatting documents including CVs, candidate profiles, spreadsheets, reports, proposals etc
- Placement Administration for permanent placements
- Ensuring that timesheets are received on time for payroll processing
- Assist Finance functions such as invoice processing and credit control
- Created and maintained tracking spreadsheets for Finance purposes
- Advertising & CV database coordination
- Client agreement administration
- Maintain Tate’s information including team forecast and revenue forecast
- Adhoc requests from the Consultants
