Job Description

We are looking for an experienced, energetic, and creative individual to join our dynamic advertising agency.

Responsibilities:

  • Managing the admin and ops for a team of 40 pax (attendance, incoming phone calls, etc)
  • Attending to visitors, deliveries, suppliers, and couriers
  • Scheduling of appointments for the MD and setting up Interviews for new applicants
  • Experience in travel bookings, arranging courier services, etc
  • Handle general office administration, ordering of stationery and office supplies, and managing of the pantry orders
  • Ensure the tidiness of the office, meeting room as well as the pantry
  • Working with our outsourced IT vendor in managing our IT requirements and equipment, and setting up of email & computer terminals for new staff
  • Assisting agency directors with correspondence, travel arrangements, and errands
  • Support Finance & HR Manager in the monitoring of attendance and reporting, and any other task as required to ensure that the office runs professionally
  • Other administrative/ ad-hoc duties as assigned

Requirements:

  • Minimum ‘A’ level and/or 3-5 years of admin experience
  • An independent and self-motivated individual who possesses a cheerful, courteous and pleasant disposition
  • Possess excellent communication skills and telephone etiquette
  • Proficient in Microsoft Office (Word/ Excel, PowerPoint & Internet)
  • Must have a good working attitude, good interpersonal skills and be able to work independently and fast
  • Must be fluent in English
  • Must be hardworking, efficient & able to multitask
  • IT knowledge is a must
  • Experience in a related role preferred

You must be resourceful, an independent worker with initiative. The agency environment is extremely fast-paced and challenging.
