Job Description

Data Processing & Support Executive (Data Entry | UAT | Administrative Support)


Join our team for a dynamic role with an outsourced project. We are looking for a detail-oriented and responsible individual to support daily operations, including programme administration, data verification & entry, inventory tracking, and general administrative duties.

Key Responsibilities

Programme & System Account Administration

  • Manage creation, update, review, and deactivation of programme and system accounts for internal and external users.
  • Review account requests and supporting documents for completeness and accuracy.
  • Maintain account master lists, audit logs, tracking records, and supporting documentation.
  • Coordinate with stakeholders on account verification, approvals, and follow-up actions.
  • Support periodic account reviews and access validation exercises.

Data Processing, Verification & Reporting

  • Extract, consolidate, clean, and verify data from systems, dashboards, vendor submissions, and operational reports.
  • Prepare and maintain standardised operational, utilisation, KPI, and management reports.
  • Verify attendance records, billing documents, claims, reimbursement submissions, and audit reports against supporting data.
  • Perform reconciliation checks and investigate discrepancies with vendors and stakeholders.
  • Support billing validation, invoice processing, and reporting activities.
  • Conduct data quality checks and ensure accuracy of reporting templates and tracking files.
  • Monitor operational mailboxes, track escalations, and prepare standardised responses where required.

Programme Operations & Scheduling Coordination

  • Coordinate programme scheduling, deployment arrangements, and operational bookings.
  • Review and verify programme calendars, setups, and activity records.
  • Support event creation and system updates for programme operations.
  • Coordinate audit scheduling and operational follow-ups with vendors and stakeholders.
  • Track programme utilisation, attendance submissions, and operational deliverables.

User Acceptance Testing (UAT) & System Support

  • Support User Acceptance Testing (UAT) activities for system enhancements, fixes, and application updates.
  • Execute test cases and document testing outcomes accurately.
  • Perform retesting after fixes or enhancements are deployed.
  • Track and escalate system issues or failed test cases where necessary.
  • Support operational testing and validation activities for digital platforms and applications.

Administrative & Secretariat Support

  • Coordinate meetings, appointments, and operational schedules.
  • Collate agenda items, presentation materials, and meeting documentation.
  • Support document formatting, proofreading, and preparation of reports and presentation slides.
  • Maintain proper filing, documentation, and records management.
  • Provide general administrative and operational support as assigned.

Inventory & Asset Coordination (Periodic support, Only when required)

  • Support inventory tracking, stock-taking, replenishment, and asset monitoring activities.
  • Coordinate deliveries and inventory updates with vendors and stakeholders.
  • Maintain inventory tracking records and support operational logistics coordination.

Requirements

  • Diploma qualifications or above with 1 to 2 years of relevant work experience, preferably in business administration, data entry or related discipline.
  • Fresh graduates are welcome to apply.
  • Proficient in Microsoft Office tools, e.g. Excel, PowerPoint, Word, Outlook etc.
  • Able to multitask and work in a fast-paced environment
  • Detail-oriented with good organisational skills
  • Comfortable consolidating numbers or documents across various sources
  • Able to work independently and as part of a team

Working Time

Monday to Friday: 8.45 am to 5.30pm

Job Types: Full-time, Contract

Contract Period: 24 months
