The ideal candidate will be a resourceful and detail-oriented professional with excellent communication skills and the ability to handle confidential information with discretion.
Key Responsibilities:
Administrative Support:
- Manage and organize the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Handle correspondence and communication, including drafting emails, memos, and reports.
- Prepare and manage documents and presentations for meetings and events.
- Conduct research and compile information as needed for decision-making.
Travel and Event Coordination:
- Plan and coordinate travel arrangements, including flights, accommodations, and transportation.
- Organize and manage events, including meetings, conferences, and social gatherings.
- Ensure all logistics are handled efficiently and effectively.
Personal Assistance:
- Assist with personal tasks and errands, such as managing household services or coordinating personal appointments.
- Maintain confidentiality and handle sensitive information with discretion.
- Provide support for personal projects and tasks as requested.
Office Management:
- Ensure that the executive’s office is well-organized and equipped.
- Liaise with other staff members and departments to facilitate smooth operations.
- Handle administrative tasks such as filing, data entry, and office supply management.
Communication and Liaison:
- Act as the point of contact between the executive and internal or external stakeholders.
- Handle phone calls and messages, ensuring timely and appropriate responses.
- Foster positive relationships with clients, partners, and other key contacts.
- Exceptional organizational and multitasking abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Strong written and verbal communication skills.
- Ability to handle confidential information with integrity.
- Excellent time management skills and attention to detail.
