Roles and Responsibilities

  • Assist Director to oversee her entire business operation and personal matters
  • Answering phone calls and redirecting them when necessary
  • Making calls to potential client and schedule meetings on behalf of Director (Cold calling)
  • Managing the daily/weekly/monthly agenda and arranging new meetings and appointments
  • Preparing and disseminating correspondence, memos, and forms
  • Preparing slides and all necessary preparation for meetings
  • Card design, EDM design, preparing greeting cards and posting necessary documents.
  • File and update contact information of clients, suppliers, and external partners (data base)
  • Liaising with internal departments
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Support and facilitate the completion of regular reports
  • Document expenses and hand in reports
  • Manage travel arrangements for Directors
  • Check frequently the levels of office supplies and place appropriate orders each month
  • Ad-hoc stuff and administrative works assigned

Requirements:

  • Ability to work in a fast-paced environment
  • Proficient in both English and Chinese
  • Must be willing to do cold calling
  • Excellent written and verbal communication skills
  • Meticulous and responsible in the roles she partakes in
  • 1 years’ experience as a secretary to a Director/MD
  • Junior
  • Familiarity with office organization
  • Proficiency in MS Office and Canva
