Job Listing: Exhibition Assistant
About the Role:
We are looking for a detail-oriented and proactive Exhibition Assistant to support our team in preparing for our upcoming exhibition in November. This role focuses primarily on exhibitor servicing before the show, with additional responsibilities in ad-hoc support tasks and marketing coordination. Candidates must be able to travel if required, especially during the event period.
Key Responsibilities:
Act as the first point of contact for exhibitors, assisting with enquiries and guiding them through the pre-show process
Distribute and manage the Exhibitor Manual and ensure all required forms and documents are submitted on time
Coordinate with service providers (e.g., booth contractors, logistics, utilities) to facilitate exhibitor orders
Support onboarding of new exhibitors, including welcome communications and platform access
Maintain accurate records of exhibitor details, booth assignments, and service orders
Track deadlines, payment status, and form submissions to ensure full readiness before move-in
Prepare exhibitor briefings and assist in compiling final exhibitor lists and materials
Work closely with the sales, marketing, and operations teams to ensure seamless communication and service delivery
Assist in collecting and compiling exhibitor content (e.g., logos, product info, social media links) for marketing use
Provide administrative assistance for marketing campaigns and communications
Help with the preparation of event materials, reports, and presentations
Requirements:
Excellent communication and interpersonal skills
Strong organizational and time management abilities
Proficiency in Microsoft Office; familiarity with event platforms or CRM systems is a plus
Attention to detail and ability to handle multiple tasks under pressure
Be flexible and ready to help with unexpected or last-minute requests leading up to the show
Prior experience in exhibitions, events, or customer service is an advantage
Ability to travel if required
