Job Description
  • Maintain and monitor appointments, meetings, events, project deadlines and other obligations to support the Territorial Secretary for Programme.
  • Register, prepare and distribute all incoming and outgoing mail for the department under the direction of the Secretary for Programme.
  • Draft confidential correspondence and keep an efficient confidential filing system of correspondence.
  • Assist in travel arrangements, including transportation, accommodation & other logistics.
  • Assist the Territorial Secretary for Programme during trainings, meetings and events.
  • Prepare the agenda and minutes of Programme/Youth Department Quarterly meetings.
  • Collate and update a calendar of ministry Special/Significant Events dates.
  • Build positive relationships and be collaborative in your engagement with Regional & District HQs, Corps, Centres, and other stakeholders.
  • Obtain, collate and dispatch quantities of all publications and resources, to and from Regional & District HQs.
  • Ensure proper maintenance/storage and update of all resources in the department and THQ Lord's Chapel.
  • Check all Local Officers FORMS received from Regional and District HQs and prepare CERTIFICATES for signatory.
  • Prepare the roster for devotions and Fund-Raising schedule.
  • Coordinate and produce sponsorship promotional materials & contents including but not limited to videos, graphics, printed posters, banners & etc.
  • Prepare monthly mileage report (for Prog Depts vehicle) and prepare Payment schedule for Finance to bill the personal usage of vehicle.
  • Facilitate investigation and respond to requests for Family Tracing requests.
  • Together with Personnel Dept, update as and when required the TSA Handbook for Leadership and HODs reference.
  • Provide annual updates on Territorys Corps and Centres Stats for TSA Yearbook and manual updates throughout the year.
  • Order stationaries and create POs and Payment schedules as and when required.
  • Carry out any other duties as assigned by the Supervisor and Leadership when required.

Qualifications

  • Diploma or Degree with at least 2- 3 years experience in Business Administration or similar role.
