Job Description

We are seeking a dedicated individual to provide administrative support to the team.

1. Contract Administration & Database Management


2. General Office & Administration

Mail & Logistics: Handle incoming/outgoing mail and courier services; manage travel arrangements (flights, hotels, transport) if required.

Facility Upkeep: Monitor and restock office supplies, manage office equipment maintenance calls, and ensure common areas are organized.

Onboarding: Coordinate logistics for new staff or freelancer orientation, including workspace setup and access staff passes.


3. Financial & Workflow Support

Transaction Management: Process payment orders and requisitions; perform vendor records cleanup to ensure the finance database is current.

Data Integrity: Perform specialized data entry within SAP systems and track project-specific milestones or production timelines.

Scanning & Archiving: Digitizing legacy paper files to ensure a paperless, searchable workflow.


Candidate Requirements

  • MS Office/Google Workspace (specifically Excel/Sheets formulas), SAP systems will be an advantage.
  • High comfort level handling sensitive legal/financial documents and maintaining databases.
  • A positive attitude and the ability to be an effective, collaborative team player.
  • Meticulous and reliable, with a sharp eye for detail and the ability to make sound judgments regarding administrative priorities.
  • Capable of multitasking and managing competing deadlines in a dynamic, high-pressure environment.
  • Strong verbal and written communication skills; able to interface professionally with stakeholders at all levels.
