Job Description

KEY RESPONSIBILITIES

Operations

  • Monitor all newly sign-up volunteers and members' completion of VIS within 3 months after signing up
  • Manage the activation and deactivation of volunteers and members’ accounts
  • Coordinate with respective Programme Managers for the schedule and content for effective and smooth facilitation of the programmes 
  • Monitor and evaluate the effectiveness of the training and recommend improvements when necessary.
  • Responsible for processing new membership applications including enquiries, payments, approval, and sending of the membership package
  • Manage and liaise with SRC Programme / Volunteer Managers and Community partners to recruit and deploy volunteers
  • Conceptualize and implement volunteer recruitment and engagement initiatives

Administration

  • Maintain Members’ records and ensure accuracy and confidentiality.
  • Manage and administer the Volunteer Skills Training programme/initiative
  • Work closely with Programme / Volunteer Managers to identify applicable training and active and dedicated volunteers to administer and facilitate the training programme.
  • Manage and maintain training records for tracking and reporting
  • Review and improve training materials to better facilitate, ensure quality, consistency and updated information
  • Conduct, evaluate and follow-up on post-training evaluation and feedback
  • Monitor and evaluate feedback from volunteers, Community Partners, and SRC Programme / Volunteer Managers for further improvements
  • Responsible for purchase requisition, orders, and goods receiving.
  • Manage the department’s inventory
  • Coordinate booking of meeting rooms and other event logistics arrangements
  • Develop and maintain a central administrative and filing system for the VM Department
  • Attend general enquiries about volunteering and membership in a timely manner.
  • Facilitate volunteers’ request for Letter of Service Hours

AD-HOC EVENTS & OTHER DUTIES

  • Assist in planning and implementation of MVD events and roadshows
  • Undertake any other duties as assigned

SKILLS & KNOWLEDGE

  • Ability to manage multiple projects with different timelines
  • Strong written and verbal communication skills.
  • Good interpersonal skills, with the ability to relate well to people of all levels.
  • Business-level proficiency in Word, Excel, Powerpoint
  • Independent as well as a good team player with good planning and organizational skills
