Job Description

Inventory Ops and Sales Admin (Internship Welcome!)


We are seeking a highly organized and detail-oriented individual to join our team as an Inventory and Operations personnel. The successful candidate will play a crucial role in optimizing inventory processes and streamlining operations to ensure efficiency and accuracy.

Inventory Management:

  • Monitor and maintain accurate inventory levels.
  • Conduct regular audits to identify discrepancies and implement corrective measures.
  • Plan and procure suitable products and inventory.
  • Communicate with warehouse and retail teams to ensure optimal stock levels and ensure operations efficiency for FIFO and lowering the % for near to expiry/damaged products.
  • Update of the daily retail inventory closing on a daily basis. 

Operations Optimization:

  • Streamline and enhance operational processes to improve overall efficiency.
  • Identify areas for process improvement and implement effective solutions.
  • Work closely with cross-functional teams to ensure seamless operations.

Order Fulfillment:

  • Oversee order processing, ensuring timely and accurate fulfillment.
  • Collaborate with the sales team to manage order backlog and prioritize shipments, 3rd party delivery schedules.
  • Implement strategies to minimize order lead times.

Stakeholders Coordination:

  • Maintain strong relationships with the top chain stakeholders (Suppliers/ Distributors, Wholesalers and Vendors.)
  • Coordinate with different stakeholders to ensure timely deliveries and resolve any supply chain issues.
  • Negotiate terms and conditions to optimize procurement processes and also a good understanding of the local import/ export laws and licenses.

Reporting and Analysis:

  • Generate regular reports on inventory levels, order fulfillment, and operational efficiency.
  • Analyze data to identify trends and areas for improvement.
  • Provide insights to management for strategic decision-making.

Administrative:

  • Keying in of PO on daily basis.
  • Any other administrative duties. 

Job Requirements:

  • Hold a Diploma or Degree with a minimum of 2 years of relevant experience.
  • Strong teamwork skills.
  • Effective communication abilities.
  • Proficient in time management and accuracy.
  • Has minimum technical knowledge to streamline operations and proficient in MS Office.
  • Prior experience dealing with imports/ exports laws and authorities within SEA will be a given advantage.
  • Problem-solving capabilities.
  • Basic knowledge in Import/Export processes (e.g., Invoice and packing list).
  • This role might require you to work after office hours to ensure the operational efficiency of the retail outlet.
