Job Description

Based in the main office and as a key member of a multi-functional team, you will be responsible for daily office tenancy operations of the commercial building. You will plan and implement comprehensive facility management programmes and conduct regular building inspections with a focus on soft services facilities management aspects to ensure full compliance with statutory requirements.

Key Responsibilities

Tenancy Management

  • Key liaison for contracts and tenants e.g., brief contractors on design specifications, calling of tenders, evaluating, and awarding of tenders / brief tenants on their shop designs and co-ordinate on renovation works including taking over/handing over premise.
  • Study on upgrading works including review of design requirement, conceptualization of plans and designs, and materials with consultants.
  • Scheduling and coordination of renovation works with contractors.
  • Plan and carry out upgrading project within tenanted areas to improve the building’s facilities.
  • Co-ordination works on AEI works for upgrading enhancement in the office.

Cleaning, Refuse Removal, Landscape & Pest Control

  • To coordinate and supervise the performance of the contractors.
  • To review the cleaning operations, periodic cleaning schedules and standard of cleanliness.
  • To investigate feedbacks/complaints and liaise with tenants regarding their needs and requirements.
  • To review of the performance of cleaning contractors periodically.
  • Contract administration such as calling of tender, tender review/evaluation, recommendation, obtain approval paper from management to award contract or renew contract, etc.

Car Park Administration 

  • To manage and activate and deactivate season holders upon payment and non-payments.
  • To reconcile monthly payments of season parking against the summary of season parking listing.
  • To prepare related carpark administration works such as prepare credit note form etc for season parking holders’ requests for the management.

FM Operations

  • To attend to feedbacks/complaints from tenants in areas relating to cleanliness, landscape etc. Including follow-up actions, where necessary.
  • To prepare tenants’ circulars and minutes of meetings for management meetings.
  • To prepare reports for management meetings.
  • To assist in the coordinate of any festive decorations, tenants’ retention programme and /or special occasion/events.
  • Conduct regular inspection on building and facilities.
  • Ensure all aspect of maintenance works are completed within planned budget and in accordance to authorities’ requirements.
  • To assist on budgeting of CAPEX/OPEX works.
  • To assist on CAPEX/OPEX works for FM operations.
  • To undertake other duties/tasks that may be assigned from time to time as the management deemed necessary.

Qualifications

The successful candidate is passionate about facilities operation management and is able to interact with various stakeholders from all levels. A team player who is proactive, result oriented, and possesses excellent communication skills, able to work independently and perform under pressure and tight deadlines.

The candidate possesses at least a Diploma in Real Estate Management / Building/ Facilities Management, Engineering, or related disciplines. He/ she should have at least 3 years’ experience in managing commercial buildings, with strong building and FM knowledge and hands on experience. He/she must be familiar with local Code of Practices and Building & Fire Safety Regulations. Certified in Senior Fire Safety Manager will be an added advantage.
