Job Description

Job Requirements:

The Event Supervisor(s) will hold a pivotal role, orchestrating diverse elements of our events to ensure seamless operations, exceptional guest experiences, and triumphant outcomes in collaboration with our respective Project Managers. Proficiency in effective communication, leadership, and meticulousness is essential to excel within our Project Management team. Additionally, each successful candidate for this role must be prepared to work overnight (during setup and teardown) as needed, demonstrate willingness to stand for extended periods, adapt to both indoor and outdoor environments, and possess the capability to lift moderately heavy loads ranging from 10 to 15 kilograms.

3-months contract: 1 November 2023 to 31 January 2024

Roles & Responsibilities:

1. Pre-Event Planning

a. Collaborate with the event planning team to understand the event objectives, theme, and requirements.

b. Assist in creating event timelines and schedules.

c. Participate in brainstorming sessions to contribute ideas for event enhancements.

d. Coordinate with various departments and vendors to ensure proper execution of event plans.

2. Logistics and Setup

a. Collaborate with the event planning team to understand the event objectives, theme, and requirements.

3. Vendor Management

a. Oversee interactions with vendors and partners, ensuring they understand their roles and responsibilities.

b. Address any issues or questions that vendors may have during setup and throughout the event.

c. Ensure vendors' setups are aligned with the event's overall theme and requirements.

4. Team Coordination

a. Lead and manage the event team, including staff and volunteers.

b. Assign specific tasks and responsibilities to team members based on their strengths and expertise.

c. Conduct pre-event briefings to ensure everyone is aligned in their roles and responsibilities.

5. Guest Services

a. Act as a point of contact for guests, addressing their inquiries, concerns, and aiding as and when needed.

b. Ensure a smooth admission and exit flow process for our guests.

c. Monitor guest flow and manage crowd control to prevent congestion and ensure a positive guest experience.

6. Problem Solving

a. Quickly identify and resolve any issues or challenges that arise during the event.

b. Make decisions on the spot to ensure the event continues smoothly and successfully.

c. Collaborate with relevant teams to find solutions to unexpected situations.

7. Communication

a. Maintain effective communication with all stakeholders, including clients, vendors, team members, and guests.

b. Relay important information and updates to the team and Kiztopia management in a timely manner.

8. Emergency Preparedness

a. Be familiar with emergency protocols and procedures in case of unforeseen incidents.

b. Remain calm and composed in high-pressure situations, ensuring the safety and well-being of attendees.

9. Event Evaluation

Job Requirements:

1. At least 2 years of experience in hospitality or guest-oriented job in front-line capacity.

2. Experienced in a supervisory role within the childcare, recreational, or entertainment industry is preferred.

3. Excellent communication and interpersonal skills, with the ability to interact effectively with children, parents, and team members.

4. Able to perform shift schedules and commit during peak periods (i.e. School Holiday, Weekends, Public Holiday) with long hours of standing/walking.

5. A good team player with a high level of enthusiasm, drive, initiative and commitment.

6. Diploma preferred, Higher Nitec are welcome to apply as well

7. First Aid trained would be a bonus
