Key Roles and Responsibilities
Administrative Management (60%)
- Master timetable scheduling
- Classroom scheduling (including monitoring classroom status on CELCAT & liaising with APSO on changes of classrooms)
- Textbook ordering & arranging course materials for printing
- Uploading course materials to the university's learning portal, if applicable
- Preparing for welcome orientation / induction materials
- Assignment management - getting AA to sort out assignments, preparing assignment dispatch forms for lecturers' collection and return of assignment scripts and couriering assignment scripts to universities
- Getting AA to work on sorting out the parchment lists, certificates and transcripts, etc.
- Preparing for materials collection, exam seating lists, exam dispatch forms and result sheets
- KSS updating - creating terms, scheduling modules, enrolling students & updating students' status, etc.
- Ensuring student’s data is up-to-date at all times
- Maintaining a good deferred / resit / repeat follow-up & recording system
- Preparing for contracts & creating sales orders for deferred / repeat / transferred students, if applicable
- Compiling data for reports for the management's review
- Assigning ad hoc administrative tasks to AA
University Management (20%)
- Liaising with universities for administrative matters (timetables, university faculty's schedules, course materials, outstanding documents from universities, etc.)
- Working with universities on exam board reports, if applicable
- Negotiating with universities on improving administrative processes, if applicable
Cross Department Communication (10%)
- Liaising with LM to confirm lecturers' schedules (always uploading updated timetables on U Drive for LM's action)
- Liaising with Exam Office to verify assignment results
- Liaising with SFS for issuing credit notes
- Responding to government agencies such as ICA, CPE, Police, etc on time for all enquiries
Teamwork & Personal Development (10%)
- Communicating regularly with Frontline Counterpart to achieve work efficiency & effectiveness
- Providing support to other members in the organization wherever necessary
- Attending training as required
- Proposing ideas for work improvement
Requirements
- 1 year experience in Administration is preferred
- Excellent Customer service & communication skill
- General Administration.
- Prior experience in the education industry is preferred
- Email Management & Follow Up Skills
- Presentation Skills
- Proficient in Microsoft Office, Excel, and outlook
Qualifications
- Minimum Diploma Holder

Working hour ~ Monday - Friday ~ 9am - 6pm
