Job Description
- Providing administrative support and other administrative duties to HR department
- Answer and direct phone calls
- Supply information regarding the organization to the general public, clients and customers.
- Handle booking of meeting rooms
- Ensure the meeting rooms are clean & tidy at all times
- Greet guests and escort them to the meeting rooms
- Serve refreshments to guests and organize catering
- Monitor visitor access and maintain security awareness
- Prepare correspondence and documents
- Schedule appointments
- Prepare and mail local normal and registered mails
- Prepare local courier (arranging with the courier company, preparation of consignment note)
- Prepare overseas courier (packing, preparation of airway bill & pro-forma invoice)
- Receive/collect and distribute mail, faxes, documents etc to recipients
- Be the first point of contact for maintenance issues eg Inform building maintenance on malfunctioning lightings, air conditioning, etc
- Monitor and maintain office equipment
- Any other duties as assigned by the management from time to time
