Job Description

We are looking for an energetic, motivated and resourceful individual who is passionate about creating exciting experiences to join us. Working with a small team of dynamic individuals, the events specialist will develop and execute events for the agency’s list of luxury lifestyle brand clients in various industries covering fashion, jewellery, beauty, hospitality, private events that include weddings, anniversaries and private parties.

The job scope will cover all relevant planning and implementation work required for the delivery and execution of an event.

Responsibilities:

  • Assist the team with the execution of events by providing required administrative support
  • Update and manage calendars and provide reminders for upcoming events
  • Manage and send out guest invitations and manage RSVP lists
  • Provide support during events
  • Create and maintain accurate and up to date records and files for all event management projects and ensure that all budgets, proposals, guest lists, events photos and contracts are properly filed
  • Maintain current information in corporate databases for business contacts and vendor lists
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Provide key support to overall team operations by planning internal staff meetings, preparing meeting agenda, recording discussions and providing follow up reports
  • Undertake any other ad hoc related duties as assigned

Requirements:

  • Candidate must possess at least a diploma in Marketing, Business Administration, Communications, Event Management or its equivalent
  • Proven work history in office or similar environment is preferred
  • High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines
  • Passion for events
  • Meticulous with strong attention to details
  • Good written and verbal communications skills
  • Positive attitude, resourceful nature and excellent problem-solving capabilities
  • A team player with strong interpersonal skills, is proactive and able to work independently
  • Some night and weekend work are required
  • Proficient in Microsoft Office, including Microsoft Word, Excel, Powerpoint and Outlook
