We are currently expanding to a new location and would want a dedicated administrative staff to manage the daily operations of the Centre.

Job Description

Responsibilities

Reception / Front-Desk

  • Extend a warm welcome and greeting to prospective customers
  • Coordinate and liaise with external parties for receiving of parcels
  • Direct students to their respective classes for lessons
  • Responsible to orientate prospective customers around the centre

Administrative

  • File, photocopying, keep records and ensure data accuracy for the Centre's administrative system
  • Responsible for parents’ enquiries (phone / walk-ins)
  • Conduct Diagnostic Consultations to share and explain program details to prospective customers
  • Prepare Registration Form and assist parents with registration at the counter
  • Key in parents / student particulars in Edulabs and QuickBooks and updating payments when required
  • Ensure the worksheets are ready for each class (including sorting & printing & stapling)
  • Inform the respective teachers on make-up students for the day
  • Manage accounting processes and tasks (e.g., daily closing and deposit check)
  • Handle weekly / monthly ordering of office supplies (e.g., food, drinks, stationery, files, notes)
  • Develop and document business processes and accounting policies to maintain and strengthen internal controls
  • Take down meeting minutes during weekly admin meeting
  • Ensure the sanitization and cleanliness of the Centre
  • Attend to instructions and manage CEO’s calendar when required

Events

  • Contribute and conceptualise ideas with administrative team for upcoming events
  • Liaise with external vendors for event preparation
  • Decorate event space to enhance the outlook of event
  • Design of event announcements and posters
  • Tear down and clean-up of event space

Human Resource

  • Coordinate and arrange face to face interviews with potential candidates
  • Print out application form and resume of potential candidates

 Requirements

  • Looking to grow long-term career in AD
  • A self-starter who can plan, organise, and take initiative to meet job objectives and deadlines independently
  • Positive and can-do attitude, driven and passionate about work
  • A team player where an individual can understand the dynamics of the team and work together amicably
  • Accuracy and attention to detail
  • Good time management skills
  • Diploma in appropriate field of study or equivalent work experience
  • Additional brownie points for candidates with specialised skill sets (e.g., IT, Marketing, Design and Events)
