Key Responsibilities
Appointment & Patient Coordination
· Support the coordination of patient appointments and related administrative activities.
· Send appointment confirmations, reminders and other relevant information to patients via email and/or WhatsApp.
· Follow up with patients on outstanding information, documents, appointments or actions where required.
· Respond to general patient enquiries and escalate clinical or other matters to the appropriate team member when necessary.
· Coordinate with internal stakeholders to ensure that patient-related administrative matters are followed through in a timely manner.
Post-Appointment Follow-Up & Closure
· Support administrative activities following the completion of patient appointments.
· Ensure that required follow-up actions are tracked and completed.
· Send reports and relevant documentation to patients in accordance with established processes.
· Follow up on outstanding reports, documents or actions with the relevant internal teams.
· Maintain appropriate records of communications and follow-up activities.
· Ensure that each patient case/appointment is administratively closed once the required actions have been completed.
General Administrative Support
· Assist with preparation, compilation, formatting and distribution of reports and documents.
· Maintain patient and appointment records accurately and in a timely manner.
· Support data entry, filing, tracking and other routine administrative activities.
· Assist with maintaining trackers or records for appointments, reports and follow-up actions.
· Support the HealthyLongevity Centre team with other administrative and operational duties as assigned.
Requirements
· Prior administrative, customer service or healthcare experience would be advantageous.
· Good written and verbal communication skills, with the ability to communicate professionally with patients.
· Comfortable using email, WhatsApp and other communication channels for patient coordination.
· Proficient in Microsoft Office applications, particularly Word, Excel and Outlook.
· Organised and meticulous, with strong attention to detail and follow-through.
· Able to manage multiple administrative tasks and follow-ups concurrently.
· Able to handle confidential patient and personal information with a high level of discretion.
