Job Description

JOB SUMMARY

  • At YMCA of Singapore, the Youth Leadership Development Programmes department collaborates with our regional partners to reach out to communities in developing countries through development projects which focus on infrastructure, healthcare, sustainability, and education. Each year, more than 1,200 youths are empowered to be community champions through one of the many projects carried out in countries such as Cambodia, Laos, Myanmar, Nepal, Philippines, Sri Lanka, Thailand, Vietnam and more.
  • Your role will be to provide essential administrative support to ensure the smooth operation of our office on an as-needed basis. You will assist in paving the way for smooth project execution and closure of our volunteer teams.

RESPONSIBILITIES

  • Perform general clerical duties, including but not limited to documents preparations, digital file management, and event scheduling.
  • In-charge of the preparation and submission of documents and reports in compliance with governmental funding requirements.
  • Tracking and coordination of payments, travel related arrangements, and fulfillment of requirements for projects closure.
  • Process and creation of job codes, project codes, purchase orders, and sales orders on NAV system.
  • Collaborate with team members to support office-wide initiatives.

JOB REQUIREMENTS 

  • Diploma or equivalent; additional qualifications in Office Administration are a plus.
  • Proven experience in an administrative role or similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy in work.
  • Ability to work independently with minimal supervision.
  • Flexibility to work varying hours based on department needs.
  • 2-3 days' work week as needed.
