Personal Assistant cum Office Admin (Up to $72k Per Annum)

Job Summary:

As the Personal Assistant cum Office Admin, based in Singapore, you will play a crucial role in supporting the directors and contributing to the efficient operation of our office. This is an excellent opportunity for someone residing in Singapore, with minimum prior experience, as on-the-job training will be provided. In addition to gaining valuable skills and experience, you will be rewarded with an attractive remuneration package that reflects your contributions and dedication to our firm.

 


  • Provide full secretarial and administrative support to Directors, managing schedules and appointments.
  • Arrange travel bookings for business and personal trips, including flights, accommodations, and transfers.
  • Prepare accurate monthly reports on Directors' reimbursement and expenses.
  • Handle personal and home matters for Directors and their families with discretion.
  • Manage office season parking, insurance payments, and assist clients with travel arrangements.
  • Conduct internet research and personal purchases for Directors efficiently.
  • Collaborate with Financial Analysts, support Compliance Internal Audit checks, and manage staff expenses.
  • Process iBanking transfer payments, monitor Petty Cash expenses, and maintain an organized filing system.
  • Purchase and replenish office supplies, handle name card and printing requisitions promptly.
  • Manage incoming calls, arrange courier services, and liaise with vendors for office maintenance.
  • Assist with other ad hoc duties to support smooth office operations.


What they need:

  • Applicants must possess at least Diploma, Advanced/Higher/Graduate Diploma, Certificate in Office Skills in reputable institutions.
  • Proficiency in English and Chinese (listening, speaking, reading, and writing) preferred but not mandatory; language training provided.
  • Adaptable, independent, and a quick learner.
  • Ability to liaise internally and externally on administrative and other matters.
  • Strong desire to learn, proactive attitude, and effective multitasking skills.
  • Good and positive attitude
  • Good time management and strong sense of urgency and priorities, and discretion in handling confidential information.
  • Residing in Singapore is a prerequisite for this position.
