Our client, a prestigious international university with campuses worldwide, is seeking a committed and proactive individual to join as Academic Affairs Intern on a 3-5 months contract. The successful candidate will support the logistical and administrative functions of our academic programs, working closely with Program Managers, faculty, students, and external partners to ensure a seamless delivery of all program components.
Job Responsibilities
1. Program Management
Support the program team in ensuring smooth delivery of programs on the APAC campus.
Assist with all academic-related activities, including academic year preparation, examinations, jury sessions, and other program-related tasks.
2. Student Support
Monitor student attendance and manage grades data entry.
Maintain and update accurate student records.
3. Curriculum-Related Events
Assist in the planning and execution of curriculum-related activities such as orientations, seminars, workshops, business games, and other program-specific events.
Ensure seamless logistical and administrative arrangements.
Source and liaise with vendors as needed, ensuring compliance with finance and procurement procedures.
Support travel arrangements, including claims, reimbursements, and payments.
4. Finance and Procurement
Maintain and regularly update program-related expenses in a shared master database.
Raise purchase requests via the procurement system in accordance with internal policies.
5. General Program Support
Coordinate teleconferences and virtual meetings with internal stakeholders, including collaboration with the International IT Department.
Take meeting minutes, manage filing, and ensure housekeeping supplies and materials are well-stocked and organized.
Position Requirements
Student Affairs & Administration: Proven experience in student support or academic administrative roles.
Organizational Skills: Highly meticulous, organized, and able to manage multiple tasks effectively in a dynamic and fast-paced environment.
Teamwork & Independence: Mature, dependable team player with the ability to work independently and collaboratively.
Technical Proficiency: Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
Event Coordination: Experience in planning and coordinating workshops, seminars, and study trips is an advantage.
Digital Tools: Familiarity with Google Tools (Google Calendar, Docs, Sheets, etc.) is a plus.
Learning Platforms: Basic knowledge of Moodle and Celcat is advantageous.
Decision-Making: Ability to make preliminary decisions and present proposals for consideration.
Vendor Coordination: Capable of reviewing and negotiating simple vendor contracts and handling payments with external service providers.
