Our client, a prestigious international university with campuses worldwide, is seeking a committed and proactive individual to join as Academic Affairs Intern on a 3-5 months contract. The successful candidate will support the logistical and administrative functions of our academic programs, working closely with Program Managers, faculty, students, and external partners to ensure a seamless delivery of all program components.
Job Responsibilities
1. Program Administration
Support the academic team in the day-to-day delivery of programs.
Assist in preparing for the academic year, including scheduling, examinations, jury sessions, and other academic processes.
2. Student Affairs
Track and manage student attendance and input of grades.
Maintain accurate and up-to-date student records and databases.
3. Curriculum & Event Support
Help coordinate curriculum-related events such as orientations, seminars, workshops, business games, and other learning activities.
Oversee event logistics and ensure smooth execution from planning to implementation.
Liaise with vendors and service providers as needed, ensuring adherence to procurement and finance policies.
Arrange travel logistics and manage reimbursements, claims, and related payments.
4. Financial & Procurement Processes
Monitor program-related expenditures and update records in a shared financial tracking system.
Raise purchase requisitions using the internal procurement platform in compliance with company policies.
5. Administrative & General Support
Organize and schedule virtual meetings or teleconferences with internal and international teams.
Record meeting minutes and maintain organized filing systems.
Ensure necessary supplies and materials are stocked and available.
Requirements
Experience in Student Support/Academic Administration: Prior experience in student affairs or academic operations is required.
Strong Organizational Skills: Ability to manage multiple tasks with precision in a fast-paced environment.
Independent & Collaborative Work Style: A dependable team player who can also work autonomously.
Technical Skills:
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Familiarity with Google Workspace (Calendar, Docs, Sheets) is advantageous.
Event Management: Prior experience planning or supporting events such as seminars, workshops, or study trips is preferred.
Digital Platform Knowledge: Basic familiarity with platforms like Moodle and Celcat is a plus.
Decision-Making Abilities: Capable of making initial judgments and presenting informed proposals.
Vendor Management: Able to review basic vendor contracts, coordinate with external providers, and manage related financial transactions.
