Job Description
Tasks and Responsibilities
- Input, print, scan, save, archive client documents in requisite online and physical folders and ensure such are always up to date;
- Collecting signatures on documents from authorized signatories;
- Indexation of documents scanned and archiving/filing of all office and operational documents;
- Print and Prepare client Board Packs once received from Operations team as and when there are such client meetings planned;
- Maintain Petty Cash register and reconcile all use towards client disbursements or business expense as appropriate for verification of the Office Manager;
- Track and maintain Disbursements and prepare amounts per client every month to ensure Invoices capture for payment;
- Manage Couriers, mails, faxes; arrange for document notarizations (might require drop off and pick up), client corporate stamps/letterheads etc.;
- Answer the central telephone line and forward to staff or take messages as needed;
- Ensure adequate files/stationary, printer toners, water, tea, coffee etc. are available at all times;
- Help with Office infrastructure as advised by Office Manager;
- Email all approved client invoices every month and help follow up with clients on payments;
- To contribute to the daily office routine helping to cover the administrative duties.
