Job Description

We are looking for an Administrator and HR Exec to support our training and HR function. The candidate will be responsible for communicating with participants and training team and assist to ensure the smooth running of the on-site admin support and HR administration.

In this role, the candidate should combine a strong attention to detail with an ability to multi-task and work under pressure. should also be a reliable problem-solver and with strong project management skills.

 

Training Admin Responsibilities:

  • Participate in preparation of documents for training programs
  • Maintain training records (e.g. trainee lists, schedules, attendance sheets, Assessment Reports)
  • Upkeep the cleanliness of the classrooms and ensure they’re properly set up
  • Prepare and disseminate material (e.g. instructional notes, feedback forms)
  • Act as a point-of-contact for trainer(s) and participants
  • Handle fee receivable and ensure invoices are paid
  • Resolve issues as they arise onsite
  • Support training activities and report to the management any feedbacks received from the participants.
  • Recommend improvements for the smooth running of the on-site processes.

 

HR Admin Responsibilities: 

  • Manage employee records, including new hire onboarding, terminations, and updating employee information in the HR system
  • Assist with recruitment activities, such as posting job ads, scheduling interviews, and conducting reference checks
  • Coordinate and organize employee training sessions and maintain training records
  • Assist with the development and implementation of HR policies and procedures
  • Monitor and manage employee time off requests, including sick leave, vacation, and personal days
  • Assist with the preparation of HR-related reports and presentations
  • Respond to employee inquiries regarding HR policies, benefits, and other HR-related matters
  • Maintain compliance with local labor laws and regulations

Requirements and skills

• Proven experience as a Training Administrator, HR Assistant or similar role

• Experience in project management

• Knowledge of office procedures and billing

• Proficient in MS Office and Google app; working knowledge of databases and CRMS is a plus

• Excellent organizational and multitasking ability

• Outstanding communication skills

• Strong attention to detail
