Job Description

Roadshow Venue & Operations Intern

Role Overview

QY Venture Pte. Ltd. is looking for a proactive and resourceful intern to support the planning and execution of roadshows and promotional events.

The intern’s main responsibility will be to identify and secure suitable roadshow venues with strong visitor traffic and commercial potential. The intern will also coordinate with venue operators, suppliers, promoters and internal team members to ensure that each roadshow is properly organised.

Key Responsibilities

Venue Sourcing

  • Research potential roadshow locations, including shopping malls, commercial buildings, community spaces, event venues and high-traffic neighbourhoods.

  • Identify locations with suitable target audiences and strong pedestrian traffic.

  • Contact landlords, mall management teams, event organisers and venue operators to obtain availability and rental quotations.

  • Compare venues based on rental cost, visitor profile, footfall, accessibility, operating hours and expected commercial potential.

  • Conduct site visits and take photographs, measurements and observations of shortlisted locations.

  • Maintain an updated database of potential venues, contact persons, rental rates and availability.

  • Prepare venue comparison reports and recommendations for management approval.

  • Negotiate or assist with discussions on rental rates, promotional packages and venue requirements.

Roadshow Coordination

  • Coordinate venue bookings, documentation, deposits and required approvals.

  • Prepare a checklist and timeline for each roadshow.

  • Liaise with venue operators regarding booth location, setup requirements, electricity, internet access, storage and operating rules.

  • Coordinate logistics such as booth setup, tables, chairs, banners, promotional materials, devices and inventory.

  • Assist with promoter scheduling, briefing and attendance tracking.

  • Ensure that all materials and equipment are delivered and ready before each roadshow.

  • Provide on-site support during selected roadshows.

  • Collect sales, customer traffic and operational feedback after each event.

  • Prepare a simple post-roadshow performance report.

Expected Deliverables

The intern will be expected to:

  • Build and maintain a pipeline of suitable roadshow venues.

  • Contact and evaluate potential venues each week.

  • Present shortlisted venues with clear cost and commercial comparisons.

  • Support the successful setup and execution of approved roadshows.

  • Track each venue from initial contact through booking and event completion.

  • Document lessons and recommendations for future roadshows.

Requirements

  • Currently studying Business, Marketing, Events Management, Hospitality, Communications or a related discipline.

  • Strong communication and interpersonal skills.

  • Comfortable contacting venue operators and external parties by telephone, email and WhatsApp.

  • Organised and able to manage multiple deadlines and follow-ups.

  • Proficient in Microsoft Excel, PowerPoint and Word or Google Workspace.

  • Willing to travel around Singapore for site visits and roadshow support.

  • Resourceful, responsible and comfortable working independently.

  • An interest in sales, events, retail, telecommunications or e-commerce would be advantageous.

Performance Indicators

Performance may be assessed based on:

  • Number of suitable venues identified and contacted.

  • Number of quotations and available dates obtained.

  • Quality of venue comparisons and recommendations.

  • Potential footfall and commercial attractiveness of shortlisted venues.

  • Ability to secure venues within the approved budget.

  • Accuracy and timeliness of roadshow coordination.

  • Completion of post-event reports and follow-up actions.
