Job Description

1. Manage Digital Systems

Oversee the end-to-end administrations of the systems

• Configure systems to support seamless users' journey workflows, including enrolment processes, feedback collections, and digital attendance.

• Generate reports (attendance, completion, assessment outcomes, surveys, funding reports etc) for internal stakeholders, auditors, and regulatory agencies.

• Support users on system-related issues.

• Conduct user training to maximise adoption of digital tools

• Review digital processes for automation opportunities to reduce manual workload and improve efficiency.

 

2. Manage Fees Collections and Government Schemes

Handle the full lifecycle of grants and fees administration, including government grants, SFEC, SFC, PSEA, and other relevant government schemes.

• Create course, submit enrolment, and funding claims via TPGateway.

• Track grants disbursement, reconcile finance claims, and resolve discrepancies with finance team and government agencies.

• Collate audit-ready documentation such as attendance sheets, assessment records.

• Submit claims to relevant authorities in accordance to prevailing guidelines.

• Monitor grant scheme updates and communicate changes to management and relevant teams.

 

3. Manage Regulatory Compliance and Quality Assurance System

Ensure systems comply with regulatory requirements and internal QA frameworks.

• Develop and maintain full set of QA documentations

• Conduct internal QA checks on course runs, assessments, and materials, to ensure standards and audit-readiness.

• Support external audits —including TPQA, ERF reviews, site inspections—and coordinate submission of required evidence.

• Track and resolve compliance gaps, incidents, and corrective actions.

• Manage learners’ feedback, analyse trends, and collaborate with stakeholders for continuous improvement.

• Manage compliance trackers to reflect new regulations and organisational changes.

 

Working Hours Work Schedule:

5 days per week — 4 weekdays and 1 weekend.

Weekday Hours: 9:00 am – 6:30 pm, or · 10:00 am – 7:30 pm, or · 12:30 pm – 10:00 pm (if there is onsite training)

Weekend Hours: 9:00 am – 6:30 pm (if there is onsite training)

Note: If there is no weekend training, the staff is to report to work on a weekday within the same week instead.

Min Tertiary education with relevant working experience
