Job Description

Working days: 3 days per week, from Tuesday to Thursday
Working hours: 9am to 5pm 
Contract duration: Immediate till end December 2026

Key Responsibilities

  • Support daily administrative operations to ensure the office runs smoothly and efficiently.
  • Provide and facilitate an interactive platform for pantry food and beverage ideas to encourage staff participation and improve pantry offerings.
  • Plan and coordinate simple, engaging pantry activities or fun games during lunchtime to promote employee interaction and office morale.
  • Assist in sourcing and comparing vendor quotations to support the preparation of the Administrative Budget 2027.
  • Coordinate administrative purchases, including obtaining quotations, processing requests, and following up with vendors and internal stakeholders.
  • Manage and update office welcome screen content to ensure timely, accurate, and engaging communication for staff and visitors.
  • Provide office maintenance support, including coordinating servicing or replacement of office equipment and amenities such as air purifiers and other workplace facilities.
  • Assist in identifying and implementing office improvement ideas to enhance workplace functionality, efficiency, and employee experience.
  • Support the planning, logistics, and execution of office webinars, staff events, and internal engagement activities.
  • Coordinate with vendors, building management, and internal teams on administrative matters, delivery arrangements, maintenance requests, and event support.
  • Maintain proper records, documentation, and tracking for purchases, quotations, administrative requests, and office initiatives.
  • Ensure adherence to workplace safety policies, procedures, and safety rules within the office.
  • Perform other related administrative and coordination duties as assigned.

Requirements:

  • Diploma or Bachelor's Degree in Business Administration or a related discipline.
  • Relevant experience in administrative and secretarial support 
  • Experience supporting two or more managers/officers will be advantageous.
  • Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
  • Familiarity with HRIS, Travel booking, or equivalent platforms will be advantageous.
