Job Title: Personal Administrative Assistant
We are seeking a highly organized and detail-oriented Personal Administrative Assistant to support our daily operations. The ideal candidate will assist with administrative tasks related to client cases, investment trades, scheduling, and document preparation. This role requires strong attention to detail, excellent communication skills, and the ability to handle confidential information with discretion.
Key Responsibilities:
1. Submission of Client Cases: Assist in preparing, reviewing, and submitting client cases accurately and in a timely manner.
2. Investment Trade Processing: Support the online creation and processing of investment trades based on client instructions.
3. Scheduling & Coordination: Manage and arrange schedules, appointments, and meetings efficiently.
4. Client Document Preparation: Organize and prepare necessary documents for client meetings and transactions.
5. Data Entry & Management: Accurately input and maintain client information in internal systems.
6. Insurance Application Checks: Review and track the status of client insurance applications, ensuring completeness and accuracy.
7. Handling Client Queries: Address general client inquiries related to their portfolio and administrative matters.
8. Ad Hoc Administrative Tasks: Provide additional administrative support as needed.
Requirements:
• Prior experience in administrative support, preferably in financial services, insurance, or investment-related fields.
• Strong organizational and multitasking skills.
• High level of accuracy and attention to detail.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant software.
• Ability to maintain confidentiality and handle sensitive information professionally.
• Good communication skills and a proactive attitude.
