Job Description

The 

Working with a small team of dynamic individuals, the Intern - Events will assist with the execution of events for the agency’s list of luxury lifestyle brand clients in various industries covering fashion, jewellery, beauty and hospitality, and special events that include weddings, anniversaries and private parties.

This internship is preferably for a period of six months, starting from July 2022. The internship will gain a good understanding of the event planning and implementation of activities and programs in the luxury market and private events in a fast-paced, dynamic agency environment.

Responsibilities:

  • Source, book, and liaise with vendors, talents, entertainers, venue operators during the event planning process to ensure everything is in order
  • Manage all event set-up, tear down, and follow-up processes
  • Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
  • Assist the team with the execution of events and on event day by providing required administrative support
  • Create and maintain accurate and up to date records and files for all events and ensure that all budgets, proposals, guest lists, events photos, and contracts are properly filed
  • Maintain current information in corporate databases for business and vendor contacts
  • Maintain supplies inventory by checking stock to determine inventory level and placing & verifying orders
  • Source and maintain an extensive network of new and current vendor contacts
  • Manage and send out guest invitations and manage RSVP lists

Requirements:

  • Pursuing a diploma or degree in Marketing, Events Management, Business or Communications preferred, but not a prerequisite 
  • High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines
  • Passion for events
  • Meticulous with strong attention to detail
  • Ability to work independently
  • Good written and verbal communications skills
  • Positive attitude, resourceful nature, and excellent problem-solving capabilities
  • A team player with strong interpersonal skills, is proactive and able to work independently
  • Some night and weekend work is required
  • Proficient in Microsoft Office, including Microsoft Word, Excel, PowerPoint and Outlook
