Job Description

The Project Administrator will support the APAC Cybersecurity team in managing Governance, Risk & Compliance (GRC) activities and coordinating cybersecurity project operations. This role ensures effective administration of governance processes, supports application funding workflows, maintains documentation, and oversees project tracking through Jira and Confluence. The position requires strong organizational skills, stakeholder management capability, and attention to detail to enable efficient delivery of cybersecurity initiatives across APAC markets.

Key Responsibilities

1. Governance & GRC AdministrationSupport execution of cybersecurity GRC processes, including policy compliance checks, risk assessments, and reporting.Maintain and update governance documents, frameworks, workflows, and templates in Confluence.Coordinate governance committee meetings (agenda, minutes, follow-ups).Track regulatory or internal audit requirements and support closure of actions.

2. Project & Funding ManagementSupport the end-to-end management of cybersecurity application funding requests.Coordinate with internal teams to collect required documentation (business case, estimates, risk evaluation).Track funding approvals, budgets, and application lifecycle status.Maintain accurate project records and dashboards using Jira, Confluence, and BMW internal tools.

3. Jira & Confluence AdministrationCreate and maintain Jira project boards, workflows, and reports for cybersecurity projects.Ensure Jira tasks, epics, and milestones are consistently updated across teams.Maintain Confluence spaces, project pages, documentation libraries, and knowledge bases.Support teams in adopting best practices for documentation and project traceability.

4. Stakeholder Coordination & CommunicationAct as the coordination point between APAC cybersecurity, market IT teams, vendors, and central BMW teams.Prepare presentation materials, dashboards, and project updates for stakeholders.Support communication plans, including project status emails, risk updates, and governance reminders.Ensure timely follow-up on action items, dependencies, and deliverables.

5. Operational SupportMaintain project calendars, schedules, and key deadlines.Assist in onboarding of new tools, processes, and team members.Help streamline administrative processes to reduce manual effort and improve team efficiency.
