Job Description

What you will learn

You will support the day-to-day work of the Secretary-General/CEO’s office in terms of being an operational intern, helping in day-to-day operations and administration, coordination of meetings, website and social media updating, namecards and email marketing, general finance, filing, record keeping and other miscellaneous office work.

The intern will be exposed to a wide variety of learning opportunities, such as:

(1) learn digital tools and skills which improve the operational performance of an organisation,

(2) Digital marketing over email and Linkedin

(3) Be exposed to networking, events, international relations, and develop a global multi-cultural mindset 

Depending on your workload and aptitude, you will also be exposed to similar duties in other companies, businesses, and get to learn about other industries and sectors.

GENERAL DUTIES

Digital Assets Management

- Manage online databases and learn digital assets management

Website and Linkedin

  • Post daily web articles on Linkedin page
  • Upload news and articles on website using WIX

Name-cards and Mailing lists

  • Scan, data-entry, and filing of name cards
  • Export contacts to a mailing list
  • Send out emails using MailChimp or any other mass marketing application
  • Send out and write thank you notes

Preparation of PowerPoint slides

  • Support and Prepare PowerPoint presentation slides in areas related to business, economy, general research

Meetings, Calendering and Scheduling

  • Respond to customer enquiries
  • Manage and schedule calendaring and schedule
  • Arrange for video and audio calls

Procurement, Budgeting and Finance

  • Scanning of receipts
  • Maintaining proper finance records
  • Efficient sourcing for purchase of office suppliers, equipment, furniture, from website sources such as Carousell, TaoBao, Alibaba, and other e-commerce sites

Exposure to business networking & seminars (virtual)

  • Attend virtual networking conferences and seminars organised by business partners such as Singapore Business federation, and Enterprise Singapore

Your expected competencies and background requirements

  • Academic background: Candidates can be from any academic background (Junior College, ITE, Polytechnic, University) with any of the following disciplines i.e. operations, administration, secretarial, business, logistics, marketing
  • Highly attentive to details, meticulous to tasks and very well-organised
  • Humble, adaptable, open, flexible and willing to learn
  • Aptitude: enjoys learning new technology skills and software

Skillset requirements

  • Knowledge of WIX (for online website)
  • Proficient in Microsoft Office, Powerpoint, Excel
  • Proficiency in FRENCH is a bonus
  • Having good esthetic/design skills and being proficient in software such as Adobe Photoshop/ Illustrator is a bonus

Start-date: Immediate

Duration

Preferred: candidate to commit to a minimum of 4 months (full/part time) and option to renew employment after; or explore rotation to other companies
Note: definition of part time = minimum 3 days per week

Conversion to employment
Yes - subject to performance review after 6 months

Working days: To be discussed and finalised during interview

Leave: 1 day of leave per month of full-time work done

Remuneration per month

  • $900 (for candidates who have completed their A-levels but who are not yet in university
  • $1100 (for candidates currently enrolled in a university, private school, or polytechnic)

Note: Remuneration shall be on a pro-rata basis for part-time.

Transport/Meal allowance
Capped at $100 per month
