Job Description

JOB DESCRIPTION

The HR & Finance Executive will be providing support for Pand.ai and from time to time to its Malaysia subsidiary, Athena with appropriate finance, human resource, and administrative support.

The ideal candidate should demonstrate a solid ethical framework and understanding of confidentiality, and has demonstrated integrity, accountability, and a strong work ethic in prior work experience.

 

RESPONSIBILITIES

 

1. Finance Responsibilities

Providing back-office services including:

- Claims management and processing

- Handles all invoicing, accounts receivables collection and tracking

- Main liaison person with external contacts such as accountant and auditors for monthly bookkeeping and submissions in accordance with statutory compliance for both Singapore and Malaysia

- Work closely with external accountants and corporate secretary for yearly statutory reporting including ACRA filing, IRAS tax filing and other requirements in Singapore and Malaysia

- Reach out when necessary to relevant Singapore government bodies ie. IRAS, MAS for processing and clarification of policies, application of grants and programs and others

- Documentation management for audit compliance & monthly finance report

2. Human Resources Responsibilities

Payroll processing

- Monthly payroll processing ensuring compliance with local regulations (ie. CPF and IRAS in Singapore and Malaysia (An advantage if candidate also possesses knowledge of EPF, SOSCO, EIS, LHDN and others in Malaysia)

- NS Men (Singapore only) reservist reimbursement and Government paid leave application and follow up

- Documentation management for audit compliance

Recruitment handling

- Handles Employment Pass/ LOC S Pass and other work permits application (for foreign candidates working in Singapore and Malaysia) and renewal

- Liaison officer between hiring managers, candidates and new hires to assist for interviews and other follow ups

- Handles all employment pass application procedures in Singapore

- Responsible for employees onboarding and offboarding process

Employee Life Cycle

  • Manage probation period, confirmation letters, medical benefits entitlement, leave entitlement and any letter request from employees, etc.
  • Be the main point of contact for employees in both Singapore and KL office

Employee Engagement

  • Plan Townhall where required (online/physical)
  • Initiate employee engagement activities


3. Office Management Responsibilities

- Provide admin support on site and off site such as arranging of courier, main point of contact with landlord, meeting room booking, printer support, arrange for signatory with authorized signatories, running errand to the bank for authorization document where needed.

- Other adhoc admin duties such as searching for quotation etc.



REQUIREMENTS

- Ability to work independently and autonomously with good problem-solving skills is extremely important

- Knowledge of Excel and other Microsoft Office applications

- Ability to multi-task, meet pressing deadlines and anticipate needs

- Ability to maintain confidentiality

- Ability to meet deadlines and coordinate work with others

- Minimal HR & Finance experience is highly advantageous

- Able to commit for a minimum of 4 months

- Available to start immediately is preferred
