Office Administrator (Jurong East) $3500 (Content Creation)

 

Key responsibilities:

  • Support day-to-day operations of the office, ensuring a safe and conducive office environment for all staff
  • Liaise with 3rd Party service providers (Cleaning Staff) as well as Building Management/Landlord for AC & Lighting
  • Liaise with vendors (Office Supplies, Pantry, International Courier, Services) to deliver efficient and cost-effective support for daily operations
  • Organize and sort company correspondences including co-ordination of internal and external courier activity
  • Support internal visitors to Singapore Office including hotel bookings, visa/invitation letters and general logistics
  • Coordinate and support office events and arrangements such as travel logistics and restaurant/venue booking and liaison
  • Keeping data up to date – seating plan, office newspaper/magazine subscriptions, servicing/maintenance contracts, new joiners/exits, adding/deletion of travel profiles and staff office access profiles
  • Manage welcome packs and carry out administration onboarding for new joiners
  • Update & track office administration expenses
  • Monitor travel activity and process travel invoices
  • Check and process administration invoices
  • Monitor inventory and ordering of office supplies (pantry, stationery, courier packages), and ensure healthy inventory
  • Key contact point for business travel providers, ensuring staff have high quality and seamless travel experience and manage relationships with hotels and airlines
  • Review vendor contracts and arrange for renewal and maintenance servicing
  • Provide business support to Senior Executives such as arrangement of travel and hotel bookings, calendar appointments and business claims as required
  • Support in facility requirements for adhoc business meetings (AC extension, staff meal arrangement)
  • Maintain a professional and welcoming reception area, ensuring external guests are greeted and directed appropriately.
  • Responsible for upholding the appearance of the reception area, ensuring it remains clean, tidy, and aesthetically pleasing, creating a positive first impression for visitors.
