Duties and Responsibilities :
Provide excellent customer service to all internal and external customers. Responsible for executing the day-to-day administrative procedures relating to the operations of the Mind Stretcher Learning Centre.
Attend to queries from walk-ins or through phone calls. To answer all queries (on courses / workshops) positively and professionally.
Handle and manage student registration, payment, explain Terms & Conditions clearly to parents, and other administrative procedures at the centre.
Follow up and address parent’s concern and request for withdrawal.
Process withdrawal, update salesforce, attendance and registration form.
When necessary, to arrange for make-up lessons / retrieve worksheets for students who are absent.
Ensure that data is captured accurately in the Salesforce System.
Sort out worksheets and place them in the respective teachers’ files.
Be objective and receptive to feedback from parents and to record the feedback in the Feedback Report.
Assist to remind parents on outstanding course fees.
Arrange or administer placement tests and pre-school assessments.
Assist teachers in basic administrative support when necessary, eg. help to access Brainpop, prepare science apparatus needed for Science lessons.
Conduct monthly check on teachers file.
Update manual monthly overview and edit/update the records.
Process teacher’s fees on a monthly basis.
Source for relief teacher to stand in for teacher on leave.
Collate centre documents for accounting purposes on a monthly basis.
Print class attendance and gradekeeper quarterly and insert into the teacher’s file.
Active follow up with parents on waitlist for slot availability.
Ensure safety of all students in the Centre at all times.
Manage crowd -control during class dismissal time.
Contact parents to verify child’s absence or lateness, 15 minutes after each class.
Assist teacher in bringing younger students to the washroom.
Promote key features and benefits of Mind Stretcher courses, value-added workshops, events or seminars promptly.
Working closely as a team, you will work towards meeting the centre’s goals and targets.
Maintain good rapport with external customers and positive working relationship with co-colleagues/teachers (across other branches/HQ)
Participate and support in company activities, training and meetings eg. PTMs, Centre Tactical Meetings, Company-Wide Meetings, Staff Welfare activities and Community Service events.
Assist in any other ad-hoc duties that may be assigned and required from time to time.
