Job Description

JOB REQUIREMENTS

 6 Months Contract Period

Job Purpose

The Healthcare Services Group Coordinator provides key administrative, operational, and strategic support to the Healthcare Services Cluster within MWS. This role ensures effective coordination, tracking, and governance of group-level projects, quality assurance, and strategic initiatives across the four sub-clusters: Nursing Homes (NH), Active Ageing Centres (AAC), Senior Care Centres (SCC), and Home Care & Home Hospice (HCHH).

Key Responsibilities

1. Operational Coordination & Administrative Support

  • Coordinate group-level schedules for the healthcare cluster, including meetings, projects, and stakeholder engagements.

  • Organize and facilitate key healthcare leadership meetings, including agenda preparation, minute-taking, and follow-ups.

  • Assist in organizing site visits, audits, and evaluations across healthcare services.

2. Project Management & Strategic Initiatives

  • Track, monitor, and coordinate group-level projects, including those funded by AIC’s Community Silver Trust (CST) and other government grant initiatives.

  • Work closely with project leads to ensure adherence to timelines, deliverables, and financial milestones for funded projects.

  • Identify potential risks in project implementation and propose mitigation strategies.

  • Provide regular updates to the Group Director, Healthcare Services, on project status and key developments.

3. External & Internal Communications

  • Draft, review, and manage correspondence with external agencies (e.g., MOH, AIC, other government bodies) on behalf of the Group Director.

  • Assist in preparing reports and presentations for the Board, funders, and external stakeholders.

4. Data & Performance Monitoring

  • Develop, monitor, and evaluate the Healthcare Services Dashboard for reporting to the Board and internal stakeholders.

  • Gather and analyse key performance indicators (KPIs) from different business units and present insights for decision-making.

  • Identify trends and areas for quality improvement and operational efficiency within the healthcare cluster.

5. Financial Monitoring & Sustainability

  • Work with the Group Director to develop, monitor, and evaluate financial performance metrics for business units.

  • Assist in preparing financial reports, cost-benefit analyses, and funding proposals.

  • Support budget planning and grant applications, ensuring financial sustainability across the healthcare cluster.

6. Strategic Planning & Development

  • Assist in strategic planning discussions to align healthcare cluster activities with MWS’s mission and goals.

  • Support the Group Director in identifying opportunities for expansion, partnerships, and innovation in healthcare services.

  • Facilitate cross-unit collaborations and best practice sharing within the healthcare cluster.

 

Skills & Competencies

  • Strong organizational and project management skills.

  • Excellent written and verbal communication skills for liaising with external agencies and internal teams.

  • Proficiency in data analysis, dashboard development, and performance tracking.

  • Understanding of healthcare governance, compliance, and funding frameworks in Singapore.

  • Ability to multitask and work independently in a fast-paced, multi-stakeholder environment.

  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and data visualization tools.
