We are looking for a reliable Executive Assistant to support our Director in growing our construction and interior design company.
The tasks of this Executive Assistant will include bookkeeping, compliance, and being the first point of work contact for our employees and external partners.
The ideal candidate will be competent in prioritizing and working under little supervision. The candidate must also be self-motivated and trustworthy.
The candidate will also undertake miscellaneous administrative tasks to ensure the rest of the staff and the company have adequate support to work efficiently on a day-to-day basis.
Roles & Responsibilities
Admin: oversee and manage all aspects of general office administration; plan and implement office systems; define procedures for creation, retention (filing), protection, retrieval, and disposal of office records and contracts; manage phone calls and correspondences (e-mails, letters, packages, etc.); keep track of fixed assets with their permit and documentation; ensure efficiency in company processes while complying with the relevant laws; review office insurance; track and order office supplies; create reports; perform general clerical duties; assist colleagues when needed
Accounts: support budgeting and up-to-date bookkeeping with our external Accountant; work out monthly bank reconciliation; process claim forms; in charge of petty cash and GST; assist in accounts receivables and annual financial report
HR: organize and maintain personnel records and internal databases (leave schedule, etc.); apply, document, manage and prepare HR documents (work passes, offer letters, etc.); ensure compliance to labor laws (CPF submission, FWL waiver submission, etc.); support payroll; coordinate employee benefits (health insurance, WICA, etc.); promote good discipline among staff; provide guidance on employee relations issues and conduct domestic inquiries, if necessary
Secretarial: manage schedule for upper management; interact with office visitors to make them feel welcomed; perform other work ad-hoc duties as and when necessary
Qualifications/Skills
Professional level of English verbal, written and in-person communications skills.
Positive attitude; a proactive approach to problem-solving
Meticulous, detail-oriented and collaborative team player
Thorough knowledge of Singapore labor laws
Advance MS Excel skills
Excellent organizational skills, with an ability to prioritize important projects
