Job Description

Main Purpose of the Job:

This role is responsible in providing a pivotal support on all functional aspects of business development and management in a manner which incorporates the company’s vision and culture and driving towards business goals. You will report to the Talent Consultant & HR Manager.

 Main Responsibilities:

 Administrative Support

  • Functional assistance and provide support to team members
  • Organizes and schedules meetings: Prepares agenda, record minutes and distribute to the team
  • Responds to queries relating to daily business operations via email or mail
  • Maintains smooth running of office operation, meeting setup, office supplies, inventory, IT
  • Maintains a comprehensive filing system of all company records, reports and information
  • Prepares correspondence/documents (contracts, invoices, claims, reports, training manuals) as directed and required
  • Assist and coordinate recreation activities for the team

HR/Recruitment Administration & Database Management

  • Support HR Manager in maintaining and updating of candidate’s database
  • Assist in preparing weekly, monthly and quarterly recruitment status report
  • Assist in screening and shortlisting of candidates based on job description
  • Provide assistance in recruitment projects (e.g. recruitment drive)
    • Support the HR Manager in HR matters such as:
    • On-boarding and off-boarding of employees
  • Preparing of documents for part-time employees (e.g. timesheet, contract, forms)
  • Maintain good relationship with clients, candidates and vendors
  • Open to provide new ideas or suggestions on improving existing processes/system

Marketing Administration

  • Supports development of social strategy and marketing activities, ideation, communication and follow-through as required
  • Assists to drive engagement and assists with content management and posting on social media platforms; Facebook, LinkedIn, IG and supports basic content updates as well as moderation of user generated content (not only limited to customer service inquiries but also engaging with customers who share compliments)
  • Provide updates regarding the community management performance vs. client benchmarks with the use of Facebook Insights and other available online analytics tools
  • Research and audit competitors’ online and social media efforts as well as general market research; provide benchmark analysis and suggests ways to make improvement
  • Provide support during marketing and networking events
