Job Description

Job objective: to support the events team with the planning, delivery and evaluation of the 2016 events programme.

Events programme: the events team is responsible for the production of events from conception through to completion. The events we run are mainly for prospecting for new business, client entertainment and driving support for local charities.

Events include:

  • Entertainment events such as pub quiz
  • Workshops and focus groups
  • Charity events
  • Various hospitality events

About the role: the role of events assistant is hands-on and involves working as part of a team. Event organisers must be able to complete a wide range of activities requiring clear communication, excellent organisational skills and attention to detail.

The events assistant must work well under pressure, assisting the smooth and efficient running of an event.

Main duties and responsibilities:

  • Assist with the day to day co-ordination and planning of the event programme including;
  • Answering calls, responding to email enquiries and registrations, managing the events database and supporting the events manager in preparing event plans and documentation
  • Call warm event leads and record bookings, feedback and testimonials
  • Assist in maintaining and managing event databases, timelines and files
  • Produce and manage a social media timeline, calendar and content
  • Prepare and distribute publicity materials such as press releases, posters, banners
  • Identify and secure speakers or special guests
  • Prepare delegate packs and papers
  • Attend events to assist with the set-up, delivery and breakdown
  • Supervision of defined aspects of an event to manage customer service and safety

Additional tasks may include:

  • Research markets and suppliers to identify opportunities and potential partners for events
  • Produce and undertake customer satisfaction surveys, analyse data and produce evaluation reports
  • Plan room layouts and the entertainment programme
  • Coordinate staffing requirements and staff briefings
  • Liaise with marketing and PR contacts to promote the events
  • Liaise with designers to create a brand for the event and organising the production of invites, posters, catalogues and sales brochures, plus social media coverage
  • Post-event evaluation (including data entry and analysis and producing reports)
