Job Description

Responsibilities

  • Perform day to day administrative duties such as filing, typing, copying, scanning, printing, binding, etc.
  • Reply to email, telephone enquiries and/or any receptionist duties.
  • Providing administrative support to senior management.
  • Organize and schedule appointments.
  • Generate quotations, invoices, payments.
  • Maintain computer and manual filing systems.
  • Receive, sort and distribute the mail and emails.
  • Maintain contact lists.
  • Coordinate with suppliers, sourcing for corporate gifts, pantry supplies, name cards etc.
  • Any other ad hoc job duties as assigned.
  • Perform data entry into accounting system.
  • Prepare and be responsible for employee's monthly payroll cycles, CPF submission, IR21, IR8A annual Income Tax Assessment, or any other related documents.
  • Update annual and medical leave records, ensure leave accuracy and proper documentation.
  • Arrange and liaise with Candidates for interview, offer letter and onboarding process.


Requirements

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Team player with excellent organization, communication and interpersonal skills.
  • Hardworking and able to work independently.
  • Resourceful and able to communicate at all levels of business.
  • Good Written and Spoken English 
  • Candidate must possess at least N level.
  • Advantage if possess LCCI/diploma equivalent.
  • Knowledge and experience in basic accounting and bookkeeping.
  • Experience with payroll and tax functions.
