Job Description

About the Role

As a Program Operations Associate, you’ll be the operational engine behind our coaching and learning initiatives. From managing grant submissions to onboarding coaches and coachees, you’ll ensure our internal processes run smoothly, efficiently, and with full compliance.

Key Responsibilities

Program & Grant Administration

  • Manage the full cycle of grant approvals and claims (e.g. IBF, HRD Corp)
  • Ensure all documentation is accurate, complete, and compliant with funding body requirements
  • Track and follow up on claim statuses, approvals, and audit readiness
  • Liaise with internal and external stakeholders to resolve grant-related queries

Coach & Member Onboarding

  • Prepare and issue coach contracts (e.g. NDAs, service agreements)
  • Collect and validate coach credentials, track records, and other onboarding documents
  • Register members/coachees on the coaching platform and manage access rights

Financial Operations Support

  • Coordinate and track coach payments, ensuring documentation is accurate and submitted on time
  • Follow up on outstanding payments with clients and partners
  • Work closely with the finance team to ensure audit-ready records

Venue Coordination & Scheduling

  • Book venues for workshops and coordinate basic logistics (capacity, location, access)
  • Assist with internal scheduling related to program delivery when required

Ad-hoc Projects & Flex Support

  • Handle ad-hoc assignments and short-term projects as they arise, supporting the evolving needs of the team and business


What You Bring

  • 2+ years’ experience in administration, program coordination, or operations support
  • Proficiency with tools such as Google Workspace, Excel; experience with Xero is a plus
  • Familiarity with training grant systems (IBF, SSG, HRD Corp) is highly advantageous
  • Sharp attention to detail, strong follow-through, and a passion for getting things right
  • Self-starter who thrives in structured environments and values consistency
