Job Description

Venue Operations:

1. Venue operational, coordination and logistical support during venue hire, internal and external events.

  • General oversight and support on venue operations during events e.g. attend to any venue issues that may arise, work with and inform relevant internal departments when needed.
  • Management of 3rd party or partner contractors / suppliers when accessing the venue e.g. housekeeping, loading / unloading, vehicle / crowd management (linked to management of production schedule).
  • Perform staggered checks of the venue and venue hirer’s event where necessary.

 2. Liaising with external suppliers.

  • Coordination of delivery / works by external suppliers;
  • Update external suppliers / vendors list.

3. Sourcing of venues and site recces, if required.

  • Liaise with the Venue Manager to arrange venue visits;
  • Take necessary measurements and photos of the venues.

4. Providing support on external site visits, maintenance or inspections.

  • Support the venue team as and when needed during potential venue hirer visits;
  • Oversee visitors / contractors visiting the venue to perform maintenance works and / or inspections.

Venue Management:

 1. Day to day running of the venue and execution of venue operating procedures.

  • Opening and locking up of critical areas as and when required e.g. daily use vs visitor / contractor access;
  • Management of visitor and contractor parking and loading/unloading;
  • Basic housekeeping of venue.

2. Control of venue inventory including setting up and maintaining system that can be used by all parties.

  • Bi-weekly checks of inventory to ensure no pest infestation and other general damages;
  • Quarterly checks of inventory location i.e. items to be in exact location as per inventory list.
