Job Description
  • To have an overview of the Structure, roles, and responsibilities in the Front Office Department.
  • To understand all Front Office Policies and Procedures.
  • To understand the staff’s recruitment and training programs.
  • To understand the Front Office’s communication processes such as meetings, briefings, project meetings and group arrival meetings.
  • To go through and understand the usage of the various Front Office reports.
  • To go through the Front Office daily and Monthly checklist - Procedures for alerts, traces, specials, billing, and adjustments 
  • To understand the guest registration process with the related finance policies and procedure on Front Office. • Cashiering & Credit card procedures
  • To understand the whole arrival process from the time a guest reservation is made to the arrivals at airport and to hotel and room: Opera System & Check-in procedure
  • To understand the whole departure process from the time a guest calls for bell-hop’s assistance to bring their luggage down, to the check out and departure at the lobby via various mode of transportations.
  • To understand how group arrivals are being handled by the Front Office Department.
  • To know about how the Mobile Check-in & Check-Out works. To understand the Rooms Controller Processes - the objective, procedures, and the relationship it has with Housekeeping Department.
  • To know about the rooms and change processes. To understand the Guest Relations functions such as their role in welcoming and giving farewell to the guests; as well as delighting the guests during their stay with us.
  • To understand the Guest History Management – the relationships between CDC, GCC and the management of the local profiles for the guests.
  • To understand the various guest programs and their administrations – Guest Performance Monitor results, Long Stay Guest Recognition and Shangri-La Circle Program.
  • To understand the Frequent Flyer Program and the administration of the program.
  • To understand the Guest Preference Process such as how their preferences are being collected, recorded, and executed. To understand the Opera systems, code parameters and the data entry systems.
  • To understand how reservation on group bookings, independent travelers, online bookings, agent bookings and payment systems are made and processed at the Front Office.
  • To understand staff’s program such as Upselling Incentive Program - the objectives, the results recognition, its reward for staff’s positive behaviour and action.
  • To understand the Quality Standards and the monitoring processes from guest feedback. To analyse guest complaints and act on improving the guest’s experience on Front Office matter
  • . To understand the overview of Shangri-La Circle Program (Gold, Jade, Diamond & Polaris).
  • To handle Express Check-Out during peak hours
