Job Description

As an Executive Assistant Intern to the Director, you will play a pivotal role in ensuring the Director's office operates efficiently and effectively. This internship will provide you with hands-on experience in executive-level support and an opportunity to contribute to the success of our organization. The role will involve working closely with the Director and other members of the executive team to ensure smooth operations and effective communication.

 

Key Responsibilities:

 

  • Work side-by-side with the Director and leadership team to multiply effectiveness and efforts.
  • In partnership with the leadership team, ensure the successful operation within the organization. Problem solve, create process, and execute on business operations tasks.
  • Proactively address pressing business issues that need immediate attention.
  • Help strategic ideas take root and provide early facilitation.
  • Continuously seek to improve processes and streamline collaboration across team members. Communicate project status to stakeholders and key project participants.
  • Office management involves overseeing the day-to-day operations of an office environment to ensure everything runs smoothly and efficiently.
  • Administrative Support: Provide comprehensive administrative assistance to the Director, including managing schedules, calendars, and email correspondence.
  • Communication: Act as the primary point of contact between the Director and internal/external stakeholders, handling inquiries and correspondence with professionalism and discretion.
  • Meeting Coordination: Schedule, organize, and prepare materials for meetings, including agenda creation and follow-up on action items.
  • Research and Analysis: Conduct research on various topics, gather data, and prepare reports or presentations for the Director's use.
  • Project Support: Assist the Director in special projects, initiatives, and ad-hoc tasks as needed, providing critical support to ensure successful outcomes.
  • Confidentiality: Maintain the highest level of confidentiality when dealing with sensitive information and executive matters.

 

Qualifications:

  • Currently enrolled in a Bachelor's or Master's program in Business Administration or related field.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Adaptability and a willingness to learn in a fast-paced environment.
  • Professionalism and attention to detail.
  • Discretion and the ability to handle confidential information with integrity.
