Job Description

Key Responsibilities:

1. Data Management:

  • Assist in reviewing, updating, and verifying crew data such as personal details, certifications, contracts, and employment records in the upcoming new crewing system.
  • Ensure data integrity and accuracy during the migration process.
  • Identify and report inconsistencies or gaps in the data to the crewing team for resolution.
  • Organize, digitize, and maintain crew documents for easy access and system integration.

2. Crew Coordination and Support:

  • Support the crewing team in the coordination of crew changes, ensuring all crew movement details are accurately updated in the system.
  • Assist in arranging travel, accommodation, and necessary documentation for crew members joining or signing off vessels.
  • Help monitor crew certificates and other required documents, ensuring timely renewals.
  • Liaise with seafarers, addressing any queries related to their employment, travel, or assignments.
  • Assist in managing crew briefing / debriefing and maintaining accurate records of crew on leave or awaiting deployment.
  • Support with the preparation of crew-related reports for internal or regulatory purposes.

3. Administrative Support:

  • Handle administrative tasks such as preparing documents, managing crew documents, and assisting with crew payroll documentation.
  • Assist the crewing team with any other daily operational tasks as needed.

Qualifications:

  • Currently pursuing a degree/diploma in Maritime Studies, Business Administration, or a related field.
  • Strong attention to detail with a high level of accuracy.
  • Basic knowledge of the maritime industry or crewing operations is a plus.
  • Proficiency in MS Office (Excel, Word) and familiarity with digital systems.
  • Strong organizational, communication, and time-management skills.
