Job Description

THE ROLE: HR Assistant (6-months Contract, Renewable)

The HR Assistant supports the Human Resources department in day-to-day operations, ensuring smooth administration of HR processes, employee documentation and staff support initiatives. This role assists in maintaining employee records, coordinating training and welfare activities, managing HR correspondences. The HR Assistant also contributes to performance management and learning & development (L&D) functions.

HR Administration & Employee Records

  • Maintain and update staff personal files and HR systems to ensure data accuracy and confidentiality.
  • Ensure proper documentation, filing, and compliance with company policies and statutory requirements.

Training, Learning & Development Support

  • Assist in coordinating training programmes, course registrations, and attendance tracking.
  • Support L&D initiatives and provide administrative assistance for staff learning activities.
  • Facilitate employee welfare programmes and activities.

Performance Management Support

  • Assist in the administration of staff performance appraisal processes and documentation.
  • Track submission timelines and follow up with relevant stakeholders.

HR Letters & Correspondence

  • Prepare HR-related letters, memos, notices, and official correspondences (e.g., confirmation, promotion, transfer, warning letters).

General HR & Administrative Support

  • Manage distribution of corporate gifts and wreaths
  • Provide support for HR projects, audits, and reporting when required.
  • Assist in general administrative tasks to support HR operations.

Qualifications

  • Diploma/ Degree in HR or its equivalent
  • At least 1 year of experience in administration or coordination roles
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Good communication and interpersonal skills to interact effectively with employees at all levels.
  • Highly meticulous and organized especially with data.
  • Able to work independently to meet organizational goals.
  • Ability to handle confidential information with professionalism and discretion.
  • Able to deal with a variety of personalities and keep calm in tense situations.

  • Working Hours: Monday to Friday, 9am to 6pm.
