Job Description

JOB DUTIES

  • Verifying suppliers’ invoices and issuing payments on time
  • Monthly filing of invoices and bank statements
  • Assist accountant in documents preparation and bank reconciliations
  • Ensure that all expenses are marked in the correct cost accounts
  • Set quarterly/annual budget with director and monitor quarterly P&L
  • Check outlets’ cash received to ensure there are no discrepancies
  • Check letterbox for bank statements and invoices to be filed accordingly
  • Monthly submissions of GTO report to respective outlets’ landlord
  • Prepare monthly outlets key performance and budget reports for management review
  • Prepare documents for annual sales audit
  • Application of grants and document preparations for claim submissions
  • Prepare and submit documents for business licenses renewal (i.e. CaseTrust, Massage Establishment Licence)
  • Handle company’s insurance renewal
  • Submission of IR21 clearance and IR8A
  • Create new staff logins for appointment booking systems or other software
  • Process staffs’ payroll and commission payout
  • Process petty cash claims and reimbursements
  • Process staffs’ product redemptions
  • Inventory tracking for products and supplies to ensure stocks are sufficient and replenished in all outlets
  • Handle negotiation, sourcing for suppliers and vendors evaluation
  • Maintenance and upkeep of office premises and equipment

JOB REQUIREMENTS

  • Diploma in Business Management/Administration or equivalent
  • At least 2 years of experience in Office Administration
  • Express a strong passion for beauty and cosmetics
